Resend an invite
Invites expire after a limited window (typically 7 days). When an invite goes stale or doesn’t arrive in the inbox, resend a fresh one.
Before you start
- Admin permissions on Users
- Confirm the invitee actually didn’t receive it (check their spam, double-check the email address)
Steps
- Open Settings → Users.
- Click into the Pending Invites section (or tab, depending on UI version).
- Find the user.
- Click Resend invite.
- A fresh invitation email goes out immediately.
The new email has a fresh link with a new expiry. The old link stops working — anyone who clicks it after a resend gets an “expired” message and is told to ask for a new one.
When to resend
- User says the email didn’t arrive — Resend (after confirming spam / address)
- Original invite has expired — Resend
- User started setup but didn’t finish; link was abandoned — Resend
- User accepted but signed out before completing setup — They should use the password-reset flow, not a re-invite
When the email never arrives
If a resend doesn’t reach the user either, the underlying issue isn’t the invite — it’s either the email address or the email pipeline:
- Wrong email address — confirm the email is exactly right (no typos, correct domain). You may need to cancel the invite and re-invite with the right email.
- Corporate spam filter — the user’s IT may be blocking automated invitation emails. Have IT whitelist your tenant’s invitation sender (Atender’s notification email — typically
noreply@<tenant-domain>or similar). - Personal mail rules — the user has a mail rule routing the email somewhere unexpected. Have them search for the invitation across all folders.
Cancel an invite instead
If the user no longer needs access:
- Open Pending Invites.
- Find the invite.
- Click Cancel.
The invite link becomes invalid. The pending entry disappears. The email address is now free to be re-invited later if needed.
Multiple resends
There’s no hard limit on resends, but each fresh invite invalidates the previous link. If a user is bouncing between expired invites, a different problem is at play — usually the email pipeline or a forgotten password (if they started setup before).
Troubleshooting
- Symptom: Resend button greyed out. Fix: The invite has been accepted (the user is now Active) — there’s no pending invite left to resend. If they need a new password, use the password-reset flow.
- Symptom: Resent email arrives, but the new link still says “expired.” Fix: The invitee may have clicked the OLD link from before the resend. Have them check the most recent email.
- Symptom: Pending Invites section shows a user that isn’t pending in real life. Fix: Cancel the invite. If the user is supposed to have access, re-invite from scratch.
